Your first AI workflow

A workflow is just a repeatable process. Instead of starting from scratch every time you write a caption, draft an email, or plan your content, you build a system once and use it over and over.

Build your workflow in 5 steps

Identify

Pick one repetitive task

Don't try to automate everything at once. Pick the one task you do most often that takes the most energy. Common starting points: writing social captions, drafting emails, creating weekly content plans.

Document

Write down exactly what you do

Before AI can help, you need to be clear on the steps yourself. What information do you always need? What does a good result look like? What tone, length, style do you want?

"I always need: my business context, the topic, my tone of voice, and the platform. A good result is 3 options under 150 words each."

Build

Turn that into a prompt template

Take everything from step 2 and write it into a reusable prompt. Use square brackets for the parts that change each time.

"Write 3 Instagram captions for my [business type] targeting [audience]. Topic: [topic]. Tone: warm and encouraging. Max 150 words each. End with a question."

Test

Run it 3 times and refine

Paste your prompt into Claude with real details filled in. Do it three times with different topics. Notice what's missing, what's off, what works brilliantly. Adjust your template each time.

"The captions were too formal. I'll add 'casual and conversational' to the tone instruction."

Save

Store it somewhere you'll actually use it

A workflow only works if you can find it quickly. Save your final prompt in Notion, a pinned note, or a doc called "My AI Prompts." Then just open, fill in the brackets, paste, and go.

Monday · Content plan

Paste your content planning prompt into Claude → get 5 post ideas for the week in 2 minutes.

Tuesday/Wednesday · Write captions

Use your caption template for each idea → edit lightly → schedule in Canva or your scheduler.

Thursday · Email draft

Use your email template → paste in Claude → edit → send or schedule.

Friday · Review and reset

Note what worked this week → tweak any prompts that didn't land → plan next week in 10 minutes.

Start small

One workflow done well beats five half-built ones. Master one before you move to the next.
